Email Outreach

Generate and send personalized emails to your customers

Overview

After AI generates customer personas, you can create and send personalized outreach emails. AskUsers handles email delivery via SendGrid with full tracking for opens, clicks, and replies.

Plan Required

Email sending and tracking requires a Growth or Lifetime plan. Free tier users can generate email drafts but cannot send them.

Email Generation

Initial Email

When a customer is analyzed, AI automatically generates a personalized email including:

  • Subject Line - Attention-grabbing, personalized
  • Opening Hook - References specific details about their company
  • Value Proposition - Why your product/upsell benefits them
  • Call-to-Action - Meeting link, IM contact, or survey
  • Incentive - Credits, discount, or gift card offer
  • Signature - Your configured email signature

Regenerating Content

If the generated email doesn't fit your needs:

Manual Editing

Click on the email preview to edit:

  1. Modify subject line
  2. Edit email body
  3. Adjust tone or messaging
  4. Save changes

Sending Emails

Single Send

  1. Select a customer from the list
  2. Review the generated email
  3. Click Send Email
  4. Confirm sending

Batch Send

Send to multiple customers at once:

  1. Select customers using checkboxes
  2. Click Send Selected in the action bar
  3. Review the count and confirm
  4. Emails are sent with rate limiting (1 per 500ms)

Always review AI-generated content before sending. Ensure accuracy and appropriateness for each recipient.

Email Status

Track the status of each customer outreach:

Real-Time Status Updates

AskUsers automatically refreshes email data to keep you informed of the latest delivery and engagement events.

Auto-Refresh Polling

The application polls for updates automatically:

Auto-refresh only runs when the browser tab is visible. Switching tabs pauses polling to save bandwidth.

What Updates Automatically

  • Delivery status - See when emails are delivered, opened, or bounced
  • Open tracking - Real-time open counts as recipients read emails
  • Click tracking - Link clicks update within seconds
  • Reply notifications - New replies appear automatically in the timeline
  • Dashboard metrics - Overall performance stats refresh in real-time

Manual Refresh

If you need immediate updates:

  • Refresh the browser page
  • Navigate away and back to the customer
  • The next polling cycle will fetch latest data

Follow-Up Emails

Send follow-up emails to non-responsive customers:

  1. Select a customer with "Initial Sent" status
  2. Click Generate Follow-up
  3. AI creates a follow-up email referencing the original
  4. Review and send

Follow-up emails acknowledge the previous outreach and provide additional value or a different angle.

All sent emails are tracked for:

Event Timeline

Each customer's conversation timeline shows:

  • Timestamp for each event
  • Visual indicators for delivery status
  • Open and click counts with tooltips
  • Reply content when received

Configure how customers can respond:

Incentives

Offer incentives based on customer spend:

Emails include your branding:

  • Company logo (if uploaded)
  • Email signature
  • From name and email

Email Deliverability

Best Practices for Inbox Delivery

  1. Verify your sender - Set up sender verification in Settings
  2. Use professional signatures - Include your real name and company
  3. Personalize content - AI-generated emails are already personalized
  4. Monitor bounces - High bounce rates affect deliverability

Sender Verification

For improved deliverability, verify your sender email:

  1. Go to Settings → Email Configuration
  2. Enter your sender email address
  3. Complete the verification process
  4. Verified senders have better inbox placement

Best Practices

Review Before Sending

Always read AI-generated content before sending. Check for accuracy and appropriateness.

Personalize Further

Add specific details you know about the customer that AI might have missed.

Time Your Sends

Send during business hours for better open rates. Avoid weekends and holidays.

Follow Up Thoughtfully

Wait 3-5 business days before sending a follow-up. Don't be too aggressive.
